The Canadian College of Health Information Management is a national, not-for-profit corporation that sets the accreditation standards for educational institutions and certification standards for health information professionals in Canada. CHIMA is the national professional association for the health information profession in Canada, representing over 5,800 health information members from coast to coast to coast. It advocates for and monitors trends within the profession, creates networking opportunities, and facilitates continuing education for its members. CHIMA also connects members with employment opportunities at organizations within health care and beyond.
About this role
The Partner Engagement Coordinator provides administrative and operational support to CHIMA’s Partnerships and External Relations portfolio, playing a key role in the successful coordination and execution of partnership, sponsorship, advertising, event, and engagement activities. This position helps ensure commitments to partners, sponsors, subscribers, and other external audiences are delivered efficiently, accurately, and to a high standard, contributing to positive and lasting relationships.
The Partner Engagement Coordinator supports partner engagement, outreach, relationship management, and business development initiatives while maintaining organized processes, accurate records, and timely communications. Working collaboratively across the organization, this role helps ensure partners and other audiences receive exceptional service and value, while supporting the achievement of CHIMA’s strategic priorities and organizational objectives.
The Partner Engagement Coordinator serves in a collaborative support role, proactively monitoring activities and identifying, escalating, and helping resolve issues, risks, or delays as they arise. KEY RESPONSIBILITIES:
Partnership & Sponsorship Coordination
- Coordinate and execute sponsorship, Annual Team Learning Subscriptions (ATLS), and advertising deliverables for the Partnerships & External Relations focus area in accordance with contractual commitments and organizational objectives.
- Support the preparation of proposals, presentations, communications, and other materials related to partnerships and sponsorship opportunities.
- Work collaboratively across the organization to deliver partner and sponsor benefits, including advertising placements, newsletter content, brand recognition opportunities, event participation, promotional campaigns, and other agreed upon deliverables.
- Support and maintain positive relationships with partners and collaborators, contribute to the execution of partner related initiatives, including events and activations.
CHIMA’s ATLS Management
- Manage the renewal process for ATLS from end to end, including outreach, customer service, invoicing coordination, and follow-up communications, ensuring a positive customer experience.
- Monitor subscription activity and identify opportunities to improve retention and engagement.
- Assist with prospect research, email and digital outreach and other engagement activities to support partner and sponsor prospecting, acquisition, stewardship, and retainment.
Administration & Project Support
- Provide administrative support to the Partnerships & External Relations focus area, including scheduling meetings, coordinating and distributing materials, communications, and maintaining accurate documentation.
- Monitor progress, maintain accurate and current information within internal systems including Asana, SharePoint, CRM platforms, Excel and other tools to support tracking of project milestones, deliverables, and timelines, ensuring activities remain on schedule.
- Proactively identify risks, issues, or delays and communicate with team and vendors to ensure smooth delivery to partners, team members, or other audiences.
- In collaboration with the IT Manager, support the back-end setup and maintenance of partnership related deliverables, events, promotional codes and coupons.
- Execute the day-to-day administration of the organization’s social media channels, including content preparation, scheduling, publishing, monitoring engagement, responding to routine inquiries, maintaining content calendars, tracking basic performance metrics, and ensuring all content aligns with organizational messaging, brand standards, and communication priorities.
- Communicate with candidates, employers, partners, and other interested parties regarding partnership related programs and activities.
Financial & Operational Support
- Coordinate partner invoicing and billing activities, ensuring accuracy, completeness, and timely processing.
- Work closely with Accounting and Finance to reconcile partnership agreements, invoices, and payment status.
- Assist in tracking and reporting on partnership revenue, forecasts, and other related financial metrics.
Skills and Experience
- Degree in Business Administration, Marketing, Communications, Public Relations, or another related field
- One to three years’ experience in a coordination, administrative, customer service, business development, marketing, or partnership support role
- Excellent written and verbal communication skills
- Strong customer service orientation and relationship building abilities
- Experience supporting events, sponsorships, customer accounts, or stakeholder relationships
- Strong understanding of administrative processes and records management practices
- Experience using collaboration and project management platforms such as SharePoint, Asana, Microsoft Teams, and similar tools
- Ability to manage multiple priorities, meet deadlines, and work effectively in a fast-paced environment with minimal supervision
Assets
- Bilingual in French and English
- Experience in the not-for-profit sector
- Understanding of the health care system in Canada
- Certified health information professional (i.e., CHIM)
- Experience with marketing and communications
